About Mutuelles du Mans Assurances
One of France’s largest insurance companies, the Mutuelles du Mans Assurances (MMA), has over 7,700 employees that serve more than 3 million clients. Focused predominantly on commercial markets, the company sells enterprise, life and banking insurance services.
In recent years, structural and organization changes have resulted in a need for MMA to find a reliable tool that would allow them to rapidly view and analyze the company’s employee and hierarchy information including:
- Employee location information (city, building, office)
- Personal contact information (email, telephone, fax)
- Functional reporting structure information (title, department)
Optimizing MMA's Human Capital Assets
MMA is experiencing a new era of growth and competitiveness which has led the company’s Executive Team to concentrate on optimization of their organization.
“A critical roadblock to meet the mandate set out by the Executive Team was that the company’s HR processes remained paper-based or required manual intervention,” said Gérald Tourette, MMA’s Human Resources Director. “There was no way to get deep visibility into MMA human capital data locked in our multiple databases.”
Organization and employee-related information was scattered across five separate data sources while different MMA divisions manually managed six disparate employee directories. Organization charting of the company structure was also dependent on ad hoc updates by individual managers.
MMA’s complicated organization structure became impossible to map manually when combined with inter-connected structural and functional hierarchies that involved cross-functional positions reporting into multiple directors across different divisions of the company.
The Nakisa Solution
MMA selected Nakisa OrgManagement Series to provide the 360-degree view into the organization structure that they needed to position the company for the future while also delivering an easy-to-use solution that MMA employees would be quick to adopt.
Nakisa OrgManagement Series met their requirements due to its advanced functionality and the ability of MMA to customize its user interface to match their organization portal. The solution supports dynamic display of complex reporting hierarchies, is 100% web-based requiring no client-side download and is architected to allow for it to scale to meet any of MMA’s future requirements. Nakisa OrgManagement Series has been seamlessly integrated with MMA’s eight data sources so that it pulls information from these multiple databases to dynamically generate organization charts and employee directory information on-the-fly.
“Thanks to the architecture of the solution, integration of Nakisa OrgManagement Series was straightforward,” said Yves Lafon, HRIS Manager. “The solution offers safe and secure connectivity to our database so that all employees can get access to the information they need when they need it.”
Nakisa OrgManagement Series has been successfully rolled-out by Nakisa’s Certified Reseller Partner, Adequasys, to more than 7,700 MMA employees. As a result of this success MMA is planning a second phase to the project that will involve making the application available to their agent network of more than 1,600.
Today at the MMA, they can quickly see where people and positions sit within the organization and verify their alignment with MMA’s overall business strategy. All information about employees, including those with multiple reporting structures or office locations, can be accessed and viewed while any holes in the organization are being quickly pin-pointed so that appropriate restructuring decisions can be made.
“MMA’s desire to build the organization for future growth is greatly benefiting from Nakisa OrgManagement Series,” continued Gilles Piffarett, Project Manager. “The company can now be structured for success using a stable, scalable system that gives us a global view of our company. We can count on real-time data about our enterprise to make strategic decisions.”
Employees also have secure access to organization charts and directories enabling them to view specific information based on their roles. The application has become an important relationship-building tool for employees to allow them to quickly find colleagues for instant collaboration on projects and initiatives. The implementation has also helped HR bring employee information up-to-date as individuals are now able to view their own data in real-time and validate its accuracy.
MMA telephone operators benefit from one centralized employee directory in their day-to-day activities as well. They can quickly make advanced enterprise-wide searches on accurate employee information to more efficiently manage and redirect incoming calls. Combining name, position, title and division filters with keyword searches ensures that MMA clients and claimants get the highest level of customer service and fastest response time possible.
HR is also seeing a benefit of faster assimilation of acquisition employees and new hires as a result of Nakisa OrgManagement Series. With the inclusion of employee portraits in organization charts and directory listings individuals new to MMA and its structure are more easily navigating the company. They are more quickly recognizing the individuals they need to interact with to get work done thereby smoothing their transition into their new role at MMA.
